Sharing

You can easily share information from many of the key statement and report pages using the Export and Email links in the Actions section on the left-hand side of the page.

The Export links allow you to directly download information in multiple formats - Excel, Microsoft Word, PDF.

The Email links allow you to send an email with the exported file as an attachment. Clicking on one of the Email links will launch a dialog with the following fields:

Attribute Description
To The email address(es) to whom to send the email. Multiple email addresses can be specified as long as they are separated by either a comma (,) or a semicolon (;).
Cc
The email address(es) to whom to copy the email. Multiple email addresses can be specified as long as they are separated by either a comma (,) or a semicolon (;).
Bcc
The email address(es) to whom to secretly copy the email. Multiple email addresses can be specified as long as they are separated by either a comma (,) or a semicolon (;).
Subject
The subject line for the email.
Message
The message body for the email.

Documents

One of the most important and challenging aspects of property management is the job of keeping up with documentation requirements of your business. We simplify this by providing a Document manager which makes it easy to produce key documents and forms from a set of templates, pre-populating as much information as it can for you. The system comes with a pre-defined set of document templates, but you can also easily create your own document templates.

You can access the Document Manager from a number of places, for example:

  • Tenancy Balance: Click on the Document Manager link within the list of Actions

  • Property Account: Click on the Document Manager link within the list of Actions
  • Smart Assistants: Click on the Document Manager link within the list of Actions

Document Manager Dialog

The Document Manager dialog allows you to browse the available document templates and generate documents from them. You can generate a document by clicking on the Generate link. This will display a dialog with two tabs:

The Download tab allows you to simply download the generated document to your local file system:

Generates a document in PDF format. PDF documents are read-only, so generating in this format is only useful if you do not wish to change it after generating. In order to open the file you'll need a PDF viewer such as Adobe Acrobat, which you can download from Adobe
Generates a document in a Microsoft Word compatible format. Generating a document in this format means you can edit it in Microsoft Word.

The Send As Email tab allows you to send the generated document as an email attachment along with a message.

Document Generation

When generating a document, the system will populate as much information as it can into the documents. So, for example, generating a Tenancy Agreement from a tenancy balance will produce a document with your details, the tenant's details and the property's details already included.

Creating your own Document Templates

You can create your own document templates and then have them automatically populated with details when you use them. See the Document Templates help topic for more information.
