Home Dashboard

The home dashboard presents a summary view of your property management business and also provides access to the most common functions. By default it displays the following items of information:

  • Open Tenancies
  • Properties
  • Active Tasks
  • Calendar
  • Active Assistants

Tenancies

This section shows a summary view of active tenancies - for each one showing a summary balance along with key dates and amounts paid or due.

Clicking on the name of the tenant will show the full tenancy balance. The icon in the actions column provides a shortcut for recording an income transaction for the tenancy, defaulting the transaction value to the next amount due.

The controls at the top of the section allow selection of different views of your active tenancies as follows:

Tenancies:

  • Show overdue only: Restricts the list of tenancies to those that have an overdue balance only.
  • Show open: Restricts the list of tenancies to those that are considered open - i.e. have no end date, or have an end date in the future.
  • Show all: Displays all tenancies that have not yet been archived.

Property Unit:

By default the section displays tenancies for all property units. This control can be used to restrict the list of tenancies to those for a specific portfolio or property unit.

Click on the icon in the panel header in order to change the information displayed for each tenancy.

Properties

This section shows summary income, expenditure and profit totals for your properties or portfolios and, for each figure, it can also show a comparison against the previous financial period.

By default, the table only displays the income, expenditure and profit totals for each property unit. However, you can use the icon in the panel header to display a menu that allows you to change the details shown in the table. There are two options in the menu:

  • Whether or not to show a comparison against the previous financial period.
  • Whether or not to show the profit figures.

If you select the option to show a comparison against the previous financial period then you will see additional columns added to show the previous period figures and the percentage change versus the previous period. The previous period figures only take into account transactions that fall within the same proportion of the previous period as has elapsed in the current period. For example, if each financial period started on the 5/Apr of each year, and the current date was 30/Nov/11, the figures would be calculated as follows:

Income:
Income from 5/Apr/11 to 30/Nov/11
Income Last Period:
Income from 5/Apr/10 to 30/Nov/10

(Similarly for expenditure and profit).

This allows the %Change calculations to provide a better reflection of how your business is doing relative to the same point within the previous financial year.

The Actions column contains the following links:

  • The icon provides a shortcut for recording an expenditure record for the property.

Clicking on the property unit link will navigate to its property account page.

Tasks

The tasks section, by default, shows a summary list of active tasks. Clicking on the Tasks section title will navigate to the full Tasks page of the organizer where you can see a much more detailed view of your tasks.

Using the drop-down selectors above the list you can also view completed tasks or show those tasks which have been defined as part of smart assistants.

Calendar

The calendar section shows the calendar appointments that have been defined for the next 5 days, grouped by day of the week. Clicking on the Calendar sections title will navigate to the full Calendar page of the organizer where you can see a much more detailed view of your appointments. Similarly, clicking on the day of a week will navigate to the detailed day view in the organizer.

Active Assistants

The Active Assistants section shows details of the smart assistants that are still active.

The icon in the section header displays a menu showing the different types of smart assistants that can be created.

Customizing the Home Dashboard

The home page can be customized to suit your needs in a number of ways:

  • Panels can be collapsed or expanded using the icon in the top left corner of each panel.
  • Panels can be completely hidden or redisplayed using the Customize Home Page link in the settings menu at the top of the page.
  • The page layout can be rearranged by dragging and dropping panels to the desired location on the page.
